What are the Top Tools used for Reputation Management?

Having an excellent reputation online has become a staple of any business now. Basically, if you are not online, you don’t exist. But similarly, if people don’t talk good about you or if they write critical reviews you are doomed.

Companies have to offer their products through web stores, owned by others or managed directly. But also, it is expected for them to have a significant presence in social media: the likes of Twitter, Instagram, or Facebook, to name some. Not every social media contains your target niche, but you have to have a presence at least on one of them.

And you know what people do on social media and on your profile page(s)? Comment.

People talk a lot and if it’s about your product, you should be aware of what they’re saying. A thread of nasty comments can plummet your sales in no time or at least hurt the product’s image, so it’s very important for any business who wants to succeed to manage their reviews effectively.

Reputation management can not only help avoid awful threats, it can also add value to your business by gathering in one hub all the comments and reviews and provide useful insights for your marketing team and/or your development/service department. Eventually, it is also part of a well-rounded internet marketing strategy, one which people will do much of for you by leaving only excellent, brand reputation-boosting, comments across all your business listings and social media channels because they are positively engaged with you, your business or your offer, and they are well serviced when an issue comes up.

So what happens if you don’t have a marketing team who follow and nit-pick every comment, and help you manage the relationship with your customer?

The answer is simple: there are plenty of reputation management tools to accomplish this. Let’s take a look at some of them below:

NiceJob focuses on three goals: get more reviews, referrals, and sales. This will be achieved by getting more positive reviews from your customers, converting visitors into paying customers, and making everything automated so you can take advantage of as much time as possible. Their tools will send smart reminders to customers to get positive reviews and then distribute those reviews across popular sites like Facebook or Google. Every customer can leave a review in 30 seconds or less. NiceJob will also help to gather data from your customer to win more leads and potential sales. The free access will guarantee: a lead generation microsite, reputation management, review monitoring, and track customer journey on your website.

Pros:

  • Heavily focuses on building meaningful relationships and leads to gain sales.
  • Comes in handy to collect and gather information from your customers.
  • Most of the work is automated so you can handle it easily without a large team to process data.

Cons:

  • Only reputation management software is free. You have to pay a monthly membership for the rest of the services.
  • The automated process can bypass some reviews that need personalized attention.
  • Don’t have listing management features.

While Mention may fall short in the review tracking aspect, it is a great start to study how your brand name and reputation is perceived online. With their online tools, you can monitor 1 billion sources across the web daily, including press articles, review sites, forums, and blogs. You can easily get and filter data from the most prominent social media channels like Twitter, Facebook, Pinterest, and Instagram. They also offer the possibility of drafting your content, schedule, and publish posts from multiple channels. Their free plan comes with the possibility to configure one alert (your brand name, for example) and get reports for up to 250 mentions over 3 preferred social media accounts. So it’s the perfect deal if you heavily rely on social media to get your brand known.

Pros:

  • Great tool for brands that sell most of their products through social sites.
  • You will get a comprehensive report of how your brand is perceived online, not only how it is reviewed.
  • Allows you to adjust your content for those consumers who talk about your brand.

Cons:

  • You can only configure one alert so if you want to monitor your brand and other products you will have to pay a membership fee.
  • Doesn’t work to improve in search rankings.
  • It’s an online reputation management software for media sites only

Podium is a management interacting platform. The ultimate purpose is to group all the leads you get on a single, easy to manage hub. This will allow an effective response, even in real-time. Some of its other features include the possibility to respond to each message individually or have automated responses, also in real-time. You can also send messages directly to clients asking for reviews and provide a link to do so in one click.

Podium is a well known online reputation manager with effective tools that will help with online monitoring, launch campaigns through the email address, and overall run an effective media monitoring.

  • The hub allows you to see every single message and answer it or ignore it in any way you want, according to your internal strategy.
  • You get to decide how personalized you want to have the interaction with your customers, either automated or not.
  • The reviewing process comes with the possibility of sending a direct link to do so.

Cons:

  • Managing all the messages can be overwhelming without a team or person dedicated to it.
  • You need to have your own approach to reach clients to ask for reviews
  • They require a one-year contract up-front, which makes it difficult to cancel the service if you don’t like it.

Savi has a straightforward proposal: increase your rating by six times and offer tools for your business to dominate local search results. To achieve those goals, they will help you launch review campaigns via text messages, see and reply to all your reviews in one dashboard and grow your presence in local listing sites by having consistent qualifications.

Customer Alliance offers automated connections. CA comes with the possibility of communicating with your clients before they arrive, via automated messages. Take the chance to introduce your team and services, while letting them know of any important information, such as breakfast times or directions from the airport. You can also collect feedback using your wi-fi log before the guest departs to take care of their review before being posted publicly.

With CA’s automated tools you can also request for feedback and build loyalty by sending personal thank you messages from your team for their stay, and welcome them back with a discount code to use on future bookings. Another helpful feature is the chance to distribute these reviews to external portals like TripAdvisor. Integrating reviews on your site will help improve trust and direct bookings.

While CA doesn’t have monitoring software, it is a cool software to manage your online reputation organically.

Pros:

  • Helps to communicate with clients comprehensively.
  • Distribute and highlight your reviews in any way you want.
  • Several channels to ask for a review rather than only email or SMS.

Cons:

  • Doesn’t have a powerful dashboard to monitor your overall online reputation. The goal is to improve organically.
  • Need your own internal tool to resume information and stats of guest reviews.
  • The option to distribute reviews is ok, but this does mean negative reviews left by clients are shown directly on the sales channels.

Pozative’s biggest claim is “free forever.” They are a text message application that gets reviews from your customers after they leave your business. You can sync up your accounts on Facebook, Google, Healthgrades, Vitals, Angie’s List, or RateMD accounts, and redirect your clients through text messages to execute reviews there. If your customer leaves a critical review, you will receive it directly to your email where you can follow up privately, not posted online. It is possible also to manage all of your locations on one platform and compare them. The free version only limits the number of reviews, invitations and locations that you can send/add but it’s a great way to get started to see how reviews monitoring works.

Pros:

  • Includes a lot in its free version.
  • Works with the major social platforms and listing websites.
  • Cheap to migrate to the paid version, only $90 yearly.

Clarabridge integrates sentiment analysis findings from voice transcriptions, agent notes, emails, chats, surveys, ratings and online reviews, social media, and online communities to help identify the root cause of customer pain and uncover drivers of customer loyalty and brand equity. All this information will be available in one place and with one click, you will have a sneak peek into the entire guest journey.

Of all the management software listed this is the one that goes deeper into sentiment analysis if that’s what you are looking for. It can also help to implement best practices in your service.

Pros:

  • An incredible tool to segment and classify comments and reviews and distinguish the ones that need immediate action.
  • A step further into understanding your guest and his/her experience.
  • Works in several communications channels and not only review forms on sales pages.

Cons:

  • In reality, it is a complementary tool. You’ll probably still need another service to monitor your reputation.
  • Information from Clarabridge  should be handled by an experienced customer service team.
  • It can be expensive and difficult to handle several platforms to manage customer service.
